Terms & Conditions

Terms & Conditions for Direct Bookings

These terms apply to reservations made directly with Dewponds Bed and Breakfast by telephone or email, including enquiries made through our website. They do not apply to reservations made through Airbnb, which are subject to Airbnb's separate booking terms and conditions.

1. Booking and Payment Schedule

Accommodation: Dewponds provides a private single-room facility. Once a booking is confirmed, the room is held exclusively for the named guests for the agreed dates.

Booking deposit: A deposit of £100 is payable when the booking is made. The booking is not secured until the deposit has cleared and the host has confirmed the reservation.

Six weeks before arrival: At least 42 days before arrival, the total amount paid towards the booking must reach 50% of the total booking price.

Final balance: The remaining balance must be paid in full at least 24 hours before the agreed arrival time.

The payment amounts and due dates will be confirmed when the booking is accepted. For bookings made less than six weeks before arrival, the payment arrangements will be agreed at the time of booking.

Failure to pay: If a scheduled payment is missed, the host will contact the guest to try to resolve the matter. If payment remains outstanding, the host may cancel the booking with reasonable notice where practicable. Any amount retained or claimed will be fair and proportionate to the loss reasonably incurred, taking account of costs saved and any income received from re-letting the room. The host will not recover the same loss twice.

2. Cancellations, Amendments and Non-arrival

Please notify the host as soon as possible by telephone or email if you need to cancel a booking.

  • More than six weeks (42 days) before arrival: The £100 booking deposit will be refunded in full.
  • Six weeks or less before arrival: A cancellation charge may apply, reflecting the reasonable loss arising from the cancellation. This will take account of costs saved and any income received from re-letting the room, and will not exceed the total booking price.
  • Cancellation within 24 hours of arrival or non-arrival: The host may seek to recover reasonably incurred loss. This could be up to the full price of the stay where the circumstances justify it.

Any money paid that exceeds the applicable cancellation charge will be refunded.

Amendments: Changes to dates or other booking details are subject to availability and the host's agreement. Any change to the price or payment arrangements will be confirmed before the amendment is accepted.

Early departure: Leaving before the agreed departure date does not automatically entitle the guest to a refund. Any refund or outstanding amount will be assessed fairly, taking account of the booking agreement, the circumstances and the reasonable opportunity to re-let the room.

Cancellation by the host: If unforeseen circumstances mean the accommodation is unavailable, the host will notify the guest as soon as possible and refund all money paid for the booking. This refund does not exclude any other legal rights or remedies that may apply.

3. Arrival, Departure and Property Security

  • Check-in: Between 4:00 pm and 8:00 pm. Arrival outside these hours must be agreed in advance. Please contact the host at least 24 hours before arrival with your estimated arrival time.
  • Check-out: By 10:30 am. A later departure must be agreed in advance.
  • Keys and security: Guests will be provided with the relevant room and main entrance keys, as applicable. Please take reasonable care of the keys and ensure the front door is locked when entering or leaving. A lockbox may be arranged in advance where appropriate.

Charges for lost or unreturned keys, replacement keys or necessary lock changes will reflect the reasonable, evidenced cost involved.

4. House Rules and Guest Conduct

Dewponds is a private residential home. Guests are expected to respect the property, the household and the surrounding neighbourhood.

  • Smoking and vaping: Smoking, vaping and the use of e-cigarettes are not permitted inside the house, including at open windows.
  • Guests and visitors: Only the guests named on the booking may stay overnight. Outside visitors and unregistered overnight guests are not permitted without prior agreement.
  • Quiet hours: Please keep noise to a minimum between 10:00 pm and 7:00 am.
  • Pets: Pets are not permitted unless expressly agreed in advance, subject to applicable legal obligations.

A breach of the house rules may result in the booking being terminated where reasonably justified. Additional cleaning charges will be proportionate to the reasonable, evidenced cost of necessary additional cleaning and will not exceed £100 where applicable. Repeated or serious breaches may result in guests being asked to leave where justified. Any cancellation or additional charges will be fair and applied in accordance with the law.

5. Damage, Breakages and Lost Property

Guests are responsible for damage or breakages they cause beyond normal wear and tear to the bedroom, bedding, bathroom, carpets, furniture or shared areas. Please report any damage or breakages to the host promptly.

The host may seek reasonable costs for repairs, necessary additional cleaning or replacement items. Any amount charged will be proportionate and supported by evidence where available. No automatic charge will be made for ordinary wear and tear or damage for which the guest is not responsible.

Lost property: Please check your belongings before leaving. Contact the host if you believe you have left something behind. The host will make reasonable efforts to recover and return lost items. Any postage or delivery costs will be agreed with the guest beforehand.

6. Liability, Insurance and General Provisions

Guests should take reasonable care of their belongings, valuables and vehicles. Suitable personal and travel insurance is recommended.

Nothing in these terms excludes or limits liability where doing so would be unlawful. The accommodation will be provided with reasonable care and skill, and the host will comply with applicable legal obligations.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability or consumer right that cannot lawfully be excluded or limited. Subject to these protections, liability will be determined in accordance with applicable law and the circumstances. These terms are not intended to remove any statutory rights.

Personal information will be used to administer the reservation, communicate with guests and meet legal obligations. It will be handled in accordance with applicable data protection law.
